Overview
The GFM Explorer tool allows users to explore the mapping of Graduate Faculty Membership (GFM) types to faculty categories and between faculty categories (and limited others) and GFM types.
You may either:
- Select a GFM type to see a list of the faculty (and limited others) who may hold that type of GFM, and the roles they may perform.
- Select a category of faculty (and limited others) to see the GFM type(s) they may hold.
The existence of multiple types of GFM allows the university to engage many different categories of faculty (and limited others) in various aspects of graduate education to the benefit of our students. Note that some categories of faculty are eligible to hold more than one type of GFM. One of these GFM types will commonly be the ‘normal’ or most common. The decision about what is appropriate will depend on the specific context.
Explore by GFM Type
Description
A Full GFM is the norm for tenured/tenure-stream faculty:
- Whether pre-tenure faculty are given a Full GFM or, instead, an Associate GFM early in their career will depend on disciplinary norms.
- (Note that faculty at the rank of Assistant Professor (Conditional) may only hold an Associate GFM (Restricted).
A Full GFM is also the norm for Full-time Clinical faculty and Status-Only faculty for whom U of T is their only academic home.
As appropriate, the following may also hold a Full GFM:
- Grant-funded CLTA (non-tenure stream) as deemed appropriate based on their expertise/term of employment.
- Part-time (non-tenure stream) faculty as appropriate depending on their FTE and the term of their employment (and, in particular, whether or not they hold a continuing appointment).
CLTA (non-tenure stream) faculty will very rarely hold a Full GFM because their term of employment is limited to five years.
Eligibility
The following faculty (and limited others) may hold this type of GFM:

- Part-time (non-tenure stream) faculty (F2)

A faculty member (and limited others) with this type of GFM may perform the following roles:

- Teach in a course-based master’s program
Supervision & Supervisory Committees:
- Supervise a master’s research project
- Act as a member of a master’s thesis committee for students in any graduate unit, as appropriate
- Act as the sole or major supervisor of a master’s thesis for students in the graduate unit
- Act as a member of a professional doctoral thesis committee for students in any graduate unit, as appropriate
- Act as the co-supervisor of a professional doctoral thesis for students in the graduate unit
- Act as the sole or major supervisor of a professional doctoral thesis for students in the graduate unit
- Act as a member of a PhD thesis committee for students in any graduate unit, as appropriate

Examinations:

Description
An Associate GFM is the norm for the following faculty:
- CLTA (non-tenure steam) faculty (F2)
- Continuing-stream, teaching-stream faculty (FA)
- Appointed Librarians (at Ranks III and IV)
- Part-time Clinical faculty
Some faculty eligible to hold a full GFM, may, alternatively, be given an Associate GFM including:
- Pre-tenure, tenure-stream faculty if deemed more appropriate based on disciplinary norms (F1)
- CLTA-grant funded (non-tenure steam) (F2)
- Part-time (non-tenure stream) faculty (F2)
In other cases, faculty may be given an Associate GFM or an Associate GFM (Restricted) depending on the specific circumstances.

Description
An Associate GFM (Restricted) allows a faculty member to perform the same roles that someone with an Associate GFM may perform (with one exception: they would not normally act as the sole or major supervisor of a master’s thesis for students in the graduate unit).
The key difference is that the roles that a person who is eligible to hold an Associate GFM (Restricted) may perform must be specified in the letter confirming their GFM.
This is the only type of GFM for a number of categories of individuals including:
- Assistant Professor (Conditional) (F1)
- Assistant Professor, teaching stream (Conditional) (FA)
- Full-time Clinical faculty (at the rank of lecturer)
- Clinical Adjunct faculty
- Status-only faculty, who are employees of another university
- Adjunct faculty
- Visiting professor
- Staff
- Sessional Instructors
- Research Associates
In many instances, this is the only appropriate type of GFM for faculty in either stream with CLTA appointments. For a limited number of categories of faculty (and limited others), there are restrictions on the specific roles that may be specified. In other cases, faculty may be given an Associate GFM or an Associate GFM (Restricted) depending on the specific circumstances.

Description
An Emeritus GFM allows a faculty member to continue to be involved in graduate education, following their retirement.
A Full GFM (Emeritus) is open only to emeritus faculty who previously held a Full Graduate Faculty Membership (GFM).
This will include:
- Previously appointed faculty (largely tenured-tenure stream) who held a Full GFM
- Some previously grant-funded CLTAs who are approved for emeritus status on an exceptional basis and who held a Full GFM
- Previously Status-only faculty—for whom the U of T is their only academic home—who are approved to hold the title of Professor Emeritus/Emerita (Status-only) where they previously held a Full GFM
A faculty member holding a Full GFM Emeritus may perform all the roles of a someone with a full GFM with the proviso that any new commitment to graduate supervision must be approved by their graduate chair. The Full GFM Emeritus is for a five-year term and should be reviewed every five years prior to renewal.
Appropriate only in instances where the retired faculty member remains actively engaged in research/Creative Professional Achievement (CPA) and is accessible to graduate students.

Description

Explore by Faculty Category (and Limited Others)
Description
Tenure-stream faculty are expected to hold non-budgetary graduate appointments from the time of hire. Tenured/tenure-stream faculty normally hold a Full GFM.
Depending on disciplinary norms, some pre-tenure faculty are given an Associate GFM early in their career. It is not appropriate for tenure-stream faculty to hold an Associate GFM (Restricted) unless they are at the rank of Assistant Professor (Conditional). Faculty at the rank of Assistant Professor (Conditional) may only hold an Associate GFM (Restricted).

Description
Faculty at the rank of Assistant Professor (Conditional) may only hold an Associate GFM (Restricted). Until the condition on their appointment is cleared (normally through completion of their own doctorate) they are not eligible to hold any other type of GFM. There are no formal limitations on the roles they may perform; it will depend on disciplinary norms, whether this includes co-supervision of a doctoral student.

Description
A CLTA position (unless grant-funded) is limited to a five-year max in any unit at the university. Therefore, a CLTA (unless grant-supported) will not normally be able appropriately to fulfill the expectations of a Full GFM particularly in respect to doctoral supervision.

Description
Grant-funded CLTAs may be employed for many years. As deemed appropriate based on their expertise and the term of their contract, it may be appropriate for them to perform the responsibilities of a Full GFM. Alternatively, another type of GFM may be considered more appropriate.

Description
Initial part-time appointments are for one or two years. Following a successful review for a part-time continuing appointment, a part-time appointment will not have an end date.
The appropriate level of GFM for a part-time (non-tenure stream) faculty member will depend on: FTE and term of employment.
- It is important to consider whether the FTE of a part-time faculty member is sufficient to allow them to fulfill specific graduate obligations.
- Similarly, the appropriate role will also depend on their expectation of continued employment.
A full GFM may be appropriate based on the relevance of their expertise and where the plan is to continue to renew them after a part-time continuing appointment. In other instances and particularly where it is unclear if they will be renewed, an Associate GFM or Associate GFM (Restricted) may be more appropriate.

Description
Faculty in continuing stream, teaching stream appointments do not always hold a GFM. Those who do are eligible to hold either an Associate GFM or Associate GFM (Restricted).
Teaching in graduate courses should normally be counted as part of the faculty member’s workload.
Continuing Stream, Teaching Stream faculty at the rank of Assistant Professor, Teaching Stream (Conditional) should only ever hold an Associate level GFM (Restricted).

Librarians at levels III and IV are eligible to hold an Associate GFM or Associate GFM (Restricted) where their expertise is pedagogically relevant.

Description
Clinical Faculty are licensed physicians (MDs) who hold joint appointments between a clinical entity (fully affiliated hospital, or partially affiliated hospital, or an affiliated community practice or other entity with a relationship to the University of Toronto) and a clinical department in the Temerty Faculty of Medicine at the University of Toronto. As part of their practice plans, they have appointments at the university: on a probationary basis for three years and then as a continuing appointment with no end date.
Full-time clinical/Full-time clinical equivalent appointment involves working less than the normal full-time hours, but with 80% or more of the physician’s professional working time devoted to academic work. Within the Faculty of Medicine, the normal practice is that clinical faculty are normally expected to have grant funding before they are allowed to supervise a doctoral candidate. A lecturer isn’t able to be a PI on a grant and consequently wouldn’t be eligible to supervise a graduate student.

Full-Time Clinical Faculty at the rank of lecturer are normally only eligible to hold an Associate GFM (Restricted).

Description
These physicians hold appointments at relevant clinical sites affiliated with the University of Toronto and devote 20% to 80% of their professional time to academic work. This includes MDs working in community affiliated hospitals and MDs in private practice. Part-time clinical appointments are renewed annually. They may hold an Associate GFM where deemed appropriate where their expertise is pedagogically relevant.

Description
These physicians work at unaffiliated sites (e.g. private practice) and/or engage in academic activities for less than 20% of their professional time. They may hold the ranks of Lecturer, Assistant Professor, Associate Professor, or Professor. The term of appointment is usually one year and renewal is at the discretion of the department chair. They are eligible for an Associate GFM (Restricted) only where their expertise is pedagogically relevant.

Description
In thinking about GFMs we distinguish between two distinct groups within the larger Status-Only category.
This subset of Status-Only faculty is for research-intensive scholars in academic-like positions in institutions that are not universities.
These Status-Only faculty hold “full-time employment arrangements with another institution with a job description that is appropriately academic (components of research and/or teaching) in nature.” Status-Only appointments such as these are “granted to qualified employees of affiliated hospitals, research institutions, [and] agencies with collaborative agreements with the University of Toronto.” “Status-Only appointments are non-salaried.” (See AAPM.) In order to hold any level of GFM, these individuals must first hold a Status-Only position in an academic unit.
These faculty are eligible to hold a Full GFM. Units may wish to consider whether it is beneficial for a Status-Only faculty member to be appointed initially as the co-supervisor of a doctoral student in order to allow them to become familiar with the norms and best practices around doctoral supervision.

Description
This subset of Status-Only faculty is for faculty who hold an academic appointment at another university.
They are here for a specific purpose and the bulk of their responsibilities lie with their home institution.
They are normally only eligible for an Associate GFM (Restricted).

Description
Adjunct faculty are “individuals who are employed elsewhere in a position that is not primarily academic in nature.” They are given an adjunct faculty appointment role because they “have special skills or learning of value to a unit and who may provide services for which recognition is desirable may be appointed as an Adjunct faculty member for a limited term.” (See AAPM.)
The only appropriate type of GFM for adjunct faculty is an Associate GFM (Restricted). Because these individuals are employed in roles that are not primarily academic in nature, they may only be approved to perform a specific subset of the normal roles of someone with an Associate GFM (Restricted) is normally permitted to perform.
This category includes:
- Adjunct Professors, a category “normally reserved for distinguished individuals of exemplary achievement with whom units expect to have an on-going connection.” (See AAPM.)
- Adjunct Lecturers: “individuals who are appointed within teaching programs or who contribute their skills or experience in supervising clinical placements.” (See AAPM.)

Roles
Adjunct faculty may be approved to perform a specific sub-set of roles which must be specified in their GFM letter. On a case-by-case basis, where their expertise is pedagogically relevant, they may:
- Teach, set, and mark examinations for a graduate course.
- Teach in a course-based master’s program.
- Act as a member of a master’s thesis committee for students in any graduate unit, as appropriate.
- Act as a member of a professional doctoral thesis committee for students in any graduate unit, as appropriate.
- Act as a member of a PhD thesis committee for students in any graduate unit, as appropriate.
- Serve as a voting member of a Final Oral Examination committee, where such examinations are required by SGS and perform all associated duties.
Description
“Faculty from other universities and research institutes who hold continuing appointments in their home institutions may be appointed to a unit as a Visiting Professor.”
“Visiting appointments do not automatically carry membership in the School of Graduate Studies and do not give the recipient the rights or privileges of teaching graduate courses or of supervising graduate students. Visiting faculty may be appointed to graduate departments in accordance with the policies of the School of Graduate Studies. These appointments are co-terminal with their University appointment.” (See AAPM)

A Visiting Professor is eligible only to hold an Associate GFM (Restricted) and should only be approved to teach a graduate course.
Description
A Full GFM (Emeritus) may only be held by faculty who held a Full GFM before retirement. This will include, in particular, emeritus faculty who previously were tenured faculty who held a Full GFM prior to retirement.
The Full GFM (Emeritus) of emeritus faculty members is for a five-year term and should be reviewed every five years prior to renewal. This will include emeritus faculty who previously were appointed faculty; Emeritus Status-Only faculty, and Emeritus Clinical faculty.

Description
An Associate GFM (Emeritus) may only be held by faculty who held an Associate GFM before retirement. This will include, in particular, emeritus faculty who previously were continuing stream, teaching stream faculty and who held an Associate GFM prior to retirement.

Description
Very occasionally and where their expertise is pedagogically relevant, staff may be hired to teach a graduate course. Staff must hold a GFM to teach. The only type of a GFM that a staff member may hold is an Associate GFM (Restricted). Professional/managerial staff should be hired as casual academics; USW staff should be hired as CUPE Unit 3.
Staff members may not be given any academic roles. Because of the nature of their employment, they may, where their expertise is relevant, be approved to perform a specific subset of the normal roles of someone with an Associate GFM (Restricted) is normally permitted to perform.

Roles
There are limits to the roles they should be approved to perform. They may:
- Be approved to serve as a member of a master’s thesis committee only where they have appropriate and substantial expertise.
- Only very exceptionally sit on the supervisory committee of a professional doctoral thesis, with permission, where their expertise is relevant.
- Only very exceptionally sit on a PhD thesis committee, with permission where their expertise is relevant.
They may not:
- Serve as a voting member of a Final Oral Examination committee, where such examinations are required by SGS and perform all associated duties.
- Act as the co-supervisor of a professional doctoral thesis for students in the graduate unit.
- Act as the co-supervisor of a PhD thesis for students in the graduate unit.

Individuals with the appropriate expertise may be hired as sessional instructors to teach a graduate course. They should normally be hired as CUPE Unit 3 or CUPE excluded.
In order to teach, Sessional Instructors must hold a GFM in the graduate unit(s) responsible for the course. They are eligible to hold an Associate GFM (Restricted). They may serve as the instructor of record. As a CUPE 3902 Unit 3 “sessional instructor” their role should be limited to teaching a course.

Description
“Research Associates are individuals hired to work on research projects. There are two categories: Research Associates (Limited Term) and Senior Research Associates. The normal qualifications for each category are the same, an advanced degree (e.g., PhD, MD, or equivalent) in the field where the research is to be carried out. While the work of Research Associates (Limited Term) and Senior Research Associates is academic in nature, they are not members of the teaching staff. These individuals are intrinsically involved in research projects where they contribute, by way of their academic expertise, to the projects directed by a Principal Investigator. From time to time, they may be asked to participate in the teaching program of the department or division. Any teaching will be a minor part of the individual’s activity and should not be assigned on a continuing basis. Any teaching assigned must be in compliance with the Collective Agreement between the University and CUPE 3902 Unit 3.” (See AAPM.)
Senior Research associates are eligible to hold an Associate GFM (Restricted). They should only be approved to teach a graduate course.
